Job Description: Seeking a Team Member to act as the principle administrative advisor for the Executive Officer and Commander's office and support staff. Independently performs other clerical and administrative work in support of the organization. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases, spreadsheets, and documents. Distribute reports to appropriate locations; receives phone calls and personally provides information or refers inquiries to the appropriate personnel, photocopies, maintains office calendar, and applies accepted management practices, techniques and methods to assigned problems/reviews. Reviews and processes incoming and outgoing correspondence, reports, and other materials submitted for signature. Prepares a wide variety of recurring and nonrecurring executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources. Generates and maintains a variety of types of management documentation used to define and support implementation of Squadron programs. Receives telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help. Coordinate travel for unit members. Review and examine travel claims submitted by unit members. Assist the Security Manager with data entry and administrative process management. Performs other related duties and responsibilities, appropriate to grade level, as assigned, which support achievement of managements objectives and requirements. Performs miscellaneous administrative duties as required.
Experience: Candidate must have knowledge of process management tools and process controls that support both technical and over-arching unit goals. Knowledge of word processing, electronic calendars and electronic mail, meeting management, video teleconferencing, as well as a working knowledge of spreadsheets, and Power Point is required. MUST HAVE Experience with (Defense Travel System) DTS travel manager, BASICS Security, and processing military forms is preferred. Excellent communication skills involving writing electronic mail, composing letters, and providing clear direction and response are the foundations of this position.
Education: High School Diploma or Equivalency Certification
Security Clearance: An active SECRET clearance is required for this position.
